If a phone number has already been referred by anyone at your practice, the second referral attempt is blocked. Same phone number can't collect a new patient reward twice.

Visit required to complete

A referral is only marked completed when the new patient physically checks in at your practice. Link sharing alone, app installs, or signups don't trigger rewards.

Flagged referrals dashboard

Unusual referral patterns (e.g. multiple referrals from the same device) get flagged in your dashboard for manual review. You can approve or reject flagged referrals before rewards are issued.

Optional expiry

Set a referral expiry window (e.g. 60 days). If the referred person doesn't book within that window, the referral expires. Useful for time-limited campaigns.

Referrals are baked into the automation sequence — not a separate thing to manage.

The 20-day timing for the referral ask is intentional. By that point, the patient has had a chance to settle into the experience, has hopefully had one or two friends comment on their smile or ask about their dentist, and receives the referral nudge exactly when they're most likely to act on it. The 20-day default is a starting point — you can change the delay to any number of days, edit the message copy, or disable the step entirely from your automation settings. Every step in the sequence has independently adjustable timing and wording.

How does the Spokk dental referral program work?+
Every patient in Spokk automatically gets their own unique referral code and link. When they share it and a friend visits and checks in, the referral is logged. You set the reward for the person who referred (the referrer) and a separate reward for the new patient they brought in (the referee). Both rewards are configured by you — discounts, free treatments, gift cards, whatever you choose. When a referral is redeemed, an automated SMS notifies the referrer that their reward is ready.
How do patients share their referral link?+
Spokk sends an automated SMS 20 days after a patient's visit (part of the automation sequence) with their unique referral link and a shareable message you customize. Patients can forward the link via text, WhatsApp, iMessage, email — however they normally communicate. They can also access their referral link from their loyalty portal if your practice uses that.
What reward options are available for referrals?+
You define the rewards yourself. Spokk tracks the referral and notifies you when to deliver it — but the actual reward is whatever you decide: a discount on the next appointment, a free hygiene visit, a dollar amount off, a free whitening treatment, a gift card. You set a description and terms, and those appear in the SMS and referral portal.
Is the referral a dual-reward program?+
Yes. You set a reward for the referrer (the existing patient who shared their link) and a separate reward for the referee (the new patient they brought in). Both are fully configurable. Dual rewards are standard practice in high-performing referral programs because they give the existing patient a tangible reason to refer.
How are fraudulent referrals prevented?+
Spokk checks that the referred phone number hasn't already been referred by anyone at your practice. The same phone number can't be used to claim a referral twice. Referrals require an actual check-in at your practice before they move out of pending status. Flagged referrals can be reviewed and approved or rejected from your dashboard.
How is a referral confirmed — does the new patient need to visit?+
Yes. A referral moves from pending to completed when the new patient checks in at your practice (via QR code) and their referral is confirmed by staff. This ensures rewards are only issued for genuine new patient visits, not just signups or link clicks.
Can I see which patients are generating the most referrals?+
Yes. Your Spokk dashboard shows all referral activity: who referred whom, referral status (pending, completed, redeemed), total referrals per patient, and which patients are your top referrers. This lets you identify your best advocates and give them extra attention.
Does the referral program integrate with the loyalty program?+
Yes. When a new patient is enrolled via referral, they enter the loyalty program automatically. Their first check-in (the visit that confirms the referral) counts toward their loyalty visit count. They also enter the automation sequence, so they receive the same feedback and review follow-up as any other patient.
Can I set an expiry date on referrals?+
Yes. You can set a referral expiry period (e.g. the referral must be completed within 60 days of sharing the link). Expired referrals are automatically flagged. This is useful for running time-limited referral campaigns.
Is there a limit to how many patients each person can refer?+
No limit by default. Each patient can refer as many new patients as they want, and each successful referral earns them a reward. There's no cap — your best advocates are your best source of new patients, so there's no reason to limit them.
Can I change the timing or message of the referral SMS?+
Yes, fully. The referral step is part of Spokk's configurable automation flow. You can adjust the send delay to any number of days, edit the SMS copy to match your practice's voice, or disable the step entirely. The same applies to every step in the sequence — feedback at 2 hours, reminder at 24 hours, review nudge at 3 days, referral at 20 days. Each step has independently adjustable timing and message content.
